Good day,

I have created events on my Alumni platform and want to invite people to the event via email and make it visible on the website for these users but it must be people that have a specific graduation year. I’d like to invite all of the users with a graduation year of 5, 10, 15, 20, etc. ago (in all 5 year iterations). In order to do this I am using a “Search for Alumni Data” and making one of the constraints “Graduation year = …” but struggling to know what to use as the calculation to get the results I am hoping for. It should use the current date in year format minus 5 years, 10 years, 15 years, etc. with no end to the calculation.

Then I’m setting it up to send out invites when the event is created but how do I also invite those that register on the system after the event has gone live?

Is it not as simple as saying you have the user add their graduation year and saved to the DB then you take ‘current date/time extract year - users graduation year’?

On signup, run the same flow you do for when you invite people who had already been signed up. This should be a backend workflow.

Good day Boston, Thank you for your answers.

  1. The thing is that I’m trying to invite each person that has been out of school for each iteration of 5 years, so the person that left school 5 years ago, 10 years ago, 15 years ago, and so on until the year in which the school started so there could be people that left 45 years ago or 60 years ago.
  2. I think I can manage to do this when a person signs up with some parameters but why do you say it should be a backend workflow? How does this help?

It is modular so you create one set of actions

You could use ‘inline formatting’ to determine by using the :formatted as text operator

Calculation: Current date/time extract year - users graduation year is greater than or equal to 5 :formatted as text

Then in the format as text Yes: current date/time extract year - users graduation year is 5:formatted as text and keep yes and no values as yes and no

In the second format as text NO (ie: when the year is not 5 - this means it is greater than or equal to 5 but is not 5) you perform another calculation to compare against 10 and continue this formatted as text

There may be another way to do it using MODULO operator which may make the process easier to setup and manage in the long run, as I’m sure the MODULO operator can confirm if the year difference is a multiple of 5.
